Taking accurate messages:
-All messages should include
--the name of the
caller
--the name of the
business/institution
--a phone number to
return the call
--and a brief message
stating the purpose of the call
When taking phone
messages make sure you give a good first impression so you gain the caller’s
trust:
--once you pick up the
phone, state clearly the name of the institution/company. For instance: “Universidad
Nacional, Architecture faculty. This is Marcela, how can I help you?”
--Once you have all the
information, ask for the specific message. Say for instance: “If you’d like
Professor Obando to call you back, you’ll need to provide a brief message”.
--Professor Obando is
unavailable right now. But if you briefly tell me the purpose of the call, I
can give him/her the message”.
-Repeat all the information,
including the short message, back to the caller to make sure you got it right.
Double check the spelling of names if necessary.
